Position Summary

 

The Payroll and Finance Administrator will play a crucial role in supporting the total rewards agenda for Edrington Americas by managing payroll, benefits, and related administrative processes. The Payroll and Finance Administrator is responsible for ensuring accurate and timely payroll processing, maintaining payroll and benefits records, and will act as the main contact to employees advising on payroll and benefit related matters.

Job Description

 

  • Preparation, processing and reconciliation of semi-monthly payroll for multiple states working closely with and managing the relationship with ADP payroll provider.
  • Ensure compliance with company policies and all applicable state and federal wage and hour laws.
  • Support in preparation of semi-monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) as needed.
  • Management of electronic timekeeping systems and timesheets.
  • Accurate processing of all mandatory and voluntary deductions, including garnishments, direct deposit requests, 401(K) salary deferrals and loan payments, Cafeteria Plan administration (FSA/commuter benefit plan (CBP) deductions), and other deductions as needed.
  • Administration of the company’s 401(k) plan, managing submission of 401(K) payroll and loan contributions to vendor each pay period, entering new hires, changes, and terminations in the 401(k) and benefits administration portals.
  • Review and distribution of annual W2 to employees, supporting the preparation of W2-C forms if needed, reconciling payroll data for accuracy.
  • Day-to-day administration of the Company’s benefit programs, including medical, dental, vision, life insurance, disability, cafeteria plans, 401(k) and other voluntary plans.
  • Record keeping of monthly vendor invoices and preparation of billing reconciliations in collaboration with HR Assistant, ensuring timely processing of invoices.
  • Ongoing maintenance and administration of benefit platforms ensuring employee data is accurate and up to date.
  • Manage paperwork related to all leave of absence processes, including but not limited to parental leave, worker’s comp, disability, paid time-off and holidays.
  • Support the annual benefits open enrollment process and other rewards activities related to benefits. Support in Immigration and Visa processes.
  • Preparation of internal and external communications pertaining to benefits and payroll.
  • Management of the Company’s rewards inbox, responding to all employees’ inquiries and escalating issues as needed.
  • Provide support to Wyoming Whiskey’s bi-weekly payroll and employee benefits.
  • Administration of payroll data for international employees through global mobility.

Skills and Experience

 

  • Bachelor’s Degree or CPP certification with relevant payroll experience preferred.
  • CPP certification is preferred.
  • 5+ years of payroll processing and HRIS systems administration experience required.
  • 2+ years' experience with ADP Workforce Now/Celergo.
  • Minimum 3 years' experience in benefits administration.
  • Proven multi-state payroll processing experience.
  • Advanced MS Excel proficiency.
  • Strong understanding of payroll best practices and tax implications.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to multitask, prioritize, and maintain meticulous attention to detail.
  • Upholds confidentiality, professionalism, integrity, responsibility, and accountability.
  • Proactive and able to work autonomously when necessary.
  • Must be over 21 years of age.
  • Must be eligible to work in the US.
