Position Summary

The HR Assistant will provide administrative support the HR Advisors, HR Managers, and Head of HR by providing a comprehensive and professional HR service to the business.  The HR Assistant (HRA) will work collaboratively with our centres of excellence to support the delivery of HR strategy and projects.

A strong level of planning and prioritisation of workload as well as initiative in dealing with enquiries from customers at all levels is a pre-requisite.

Talent Management

  • Manage all aspects of the onboarding experience, such as processing background checks, I-9s, new hire files, and any other requirements.
  • Partner with internal customers and Talent Advisor to support recruitment interview scheduling for open roles 
  • Work with HR Advisor / Head of HR to ensure that all vacancies are managed effectively from point of discussing resource requirements through to advertisement, offer and on-boarding
  • Support resourcing with the New Hire Induction programme.
  • Work in close collaboration with HR team with regards to Offer letters, extension to temporary contracts / secondments, contracts and hiring of employee’s in Employee Central for Americas Employees.

Engagement and Culture

  • Maintain electronic filing of newly hired employees
  • Support the Rewards Team with the delivery of the Well-being agenda
  • Provide ad hoc admin support for HR Advisors, HR Managers and Head of HR.
  • Support HR Advisors and Head of HR with HR policy administration.
  • Help maintain our SharePoint page up to date
  • Escalate straightforward employee and line manager HR queries.
  • Provide administrative support to our HR Advisors with the delivery of the Diversity, Equity and Inclusion strategy across the Americas.

Reward and Benefit

  • Provide support with administration of our benefit perks platform.
  • Help administer enrolment of new hires into our e-compliance portal for labor.
  • Assist with invoice processing and vendor set up.
  • Help tracking Modern Family Leave process.
  • Address employees questions related to Recognition, payroll, and benefits.

Learning and Development

  • Support with the organisation and planning of the annual Learning @ Work programme.
  • Provide administration support to the Americas Learning and Development Agenda including our leadership and talent programmes.
  • Support Learning by socialising the benefits of the line manager and employee resources available ( Line Manager Toolkit and the Edrington Academy).
  • Actively take part in the Global HR Key User meetings.  Activity will include running data governance reports and maintenance of employee records including - new starts/leavers, salaries, working patterns.

Skills and Experience

  • Educated to degree level within HR or a related field.
  • 1-2 year of Human Resource experience
  • Must be fluent in Spanish
  • Proficient in Microsoft Office Suite: PowerPoint, Excel & Word
  • Professional integrity and sense of responsibility and accountability 
  • Strong attention to detail, strong organizational and planning skills 
  • Willing to take initiative and work independently when needed 
  • Positive and personable demeanour 
  • Excellent collaborator, Attentive listener, Understanding, empathetic and relatable 
  • Strong interpersonal (both verbal and written) communication skills 
  • Must be at least 21 years old 
  • Eligible to work in the US
