Embrace Excellence
We are seeking an organized and engaged Executive Assistant to support three roles within the Executive Leadership Team, including the CEO. In addition, this role will be part of the team providing support to the Office Services Team in our NYC office. This dynamic role requires an ability to prioritize, anticipate needs, think critically and be solution oriented in a fast-paced environment. The ideal candidate must be flexible, proactive and effective in their ways of working. Excellent communication, interpersonal and collaboration skills are essential for this role due to interactions with colleagues across all levels of the organization both in the Americas, the UK as well as external contacts.
This role will provide admin support as needed in scheduling appointments, arranging meetings, travel planning, calendar management, and assist with various other duties requiring confidentiality and discretion on sensitive information. This individual will prepare ad hoc reports, presentations, and will handle information requests and process expenses.

- Coordinate travel and logistics for leadership team
- Manage and prioritise executive calendars, ensuring accuracy and resolving scheduling conflicts.
- Manage correspondence and incoming communications in line with executive priorities.
- Coordinate leadership and team meetings, including agenda and material preparation.
- Maintain document and organisational systems in line with company policies
- Draft high‑level communications and manage confidential materials discreetly.
- Coordinate meeting and event logistics, including rooms, catering, technology, and materials.
- Support internal and external meetings, events, and executive visits, including VIP distillery tours.
- Process expense reports and invoices, ensuring accurate coding and timely submission with Finance.
- Lead end‑to‑end coordination of Executive Leadership Team meetings, QLTs, and town halls.
- Collaborate with Executive Assistants, Office Management, IT, and regional teams to ensure alignment.
- Represent the Executive Office professionally and support Social and Giving Committee initiatives.
- Anticipate executive needs and prepare reports, presentations, and spreadsheets in advance.
Your Talent and Skills
- Bachelor’s degree, or associate degree Required, or equivalent experience
- Minimum of 5 years of experience in an administrative support capacity for Executives, or high-level Directors
- Advanced proficiency in MS Word, MS Excel & MS PowerPoint; AI experience welcomed
- Strong communication and interpersonal skills, with the ability to work effectively with a diverse range of stakeholders.
- Superior organization skills and attention to detail; ability to multitask and prioritize responsibilities. Flexible, adapting to change quickly and easily.
- You are solution-focused and demonstrate initiative by identifying issues proactively for executives.
- You are extremely well organized, rely on checklists, time-blocking, and understand the importance of implementing systematic processes.
- You are a strong team player with a positive mindset, dynamic, and professional personality.
