Embrace Excellence
This position sits within the Education team and will provide both administrative, events, webinar and budget support to the Education Leadership Team for internal and external events. You will act as the main point of contact for all internal and external events including Ambassador and Specialist training and global webinars in Glasgow, on The Macallan Estate and in Jerez.
Make an Impact
Key responsibilities:
- Provide administrative support to the Education Leadership Team and Brand Leadership Team.
- Arranging meetings, helping prioritise key meetings, tasks and resolving diary conflicts.
- Organising travel arrangements using Concur online booking system.
- Assistance with daily administrative tasks and other ad hoc requests as they arise.
- Project planning and logistical support on internal advocacy, education community onboarding and training and global webinars.
- Provide administrative support as above, liaising with The Estate, Jerez and Regional teams to plan and facilitate customer and consumer visits.
- Preparing documents, reports, and presentation materials.
- Raising POs and tracking education budget.
- Main point of contact for all education events at The Macallan.
- Working with education team to ensure event requirements are facilitated and the appropriate resources acquired.
- Ensure appropriate rooms are utilised to meet the requirements of the host.
- Liaise with external contractors and suppliers to ensure efficient provision of required resources and services. This includes The Estate, Jerez team, hotels, transport, and food providers.
Your Talent and Skills
- Experience commensurate to this level of role within a global organisation
- Demonstrable background in effective event and international travel planning
- Excellent communication skills as the role will interface with multiple stakeholders both internally and externally.
- Excellent knowledge of MS Office including Outlook and Excel.
- Time management and organisational skills are imperative to the role; holder should be able to
- prioritise workload effectively.
- Strong attention to detail.
- The ability to operate autonomously and remotely and to make quick and informed decisions, you should be able to use your initiative to manage shifting priorities and developments out with your control.
- Negotiation skills are desired but not essential.
- Strong planning, prioritisation, and project management skills.
- The ability to develop, implement and evaluate new business processes within a dynamic business environment.
- Budget management experience.
- Overall role holder will be highly flexible given the variety of tasks that will need to be undertaken, will have a strong work ethic, excellent customer service skills.
