Embrace Excellence

The Engineering Maintenance Systems Administrator is at the heart of enabling safe, reliable and efficient operations by ensuring the accuracy and integrity of engineering and asset data. This role is key to maintaining high-quality asset records, technical documentation and inspection information, ensuring everything is up to date, compliant and supports effective maintenance delivery.

Working closely with Engineering, Maintenance and Operations teams, you will bring strong system expertise and a detail-driven mindset, helping to enhance data quality and streamline processes. With a focus on continuous improvement, you will play an important role in shaping how maintenance systems and reporting evolve, supporting operational excellence across the organisation.

This is a 12 month fixed term contract.

Make an Impact

  • Maintain and manage engineering and asset documentation, ensuring accuracy, completeness, compliance, and timely input into maintenance and document management systems, with strong version control and audit readiness.
  • Create and update asset master data (including hierarchies, criticality, lifecycle and archiving), while verifying and correcting technical data to ensure consistency and high data integrity across systems.
  • Collaborate with Engineering, Operations and Compliance teams to resolve data gaps and support safe, effective maintenance delivery.
  • Input, convert and digitise maintenance and technical information from approved documentation and drawings to support planning, reporting and compliance.
  • Monitor data quality through regular checks, track system updates for audit and lifecycle purposes, and ensure adherence to data integrity, cyber security and governance standards.
  • Respond to stakeholder requests with accurate data and reporting, while supporting continuous improvement and acting as a key user for maintenance systems and data standards.

Your Talent and Skills

To be successful in this role you have strong planning and organisational skills, with the ability to prioritise and manage high volumes of data and documentation within tight deadlines, alongside proven experience in data management and governance to ensure accuracy, completeness and compliance with relevant standards. You are a detail-oriented and effective problem-solver, able to identify inconsistencies, investigate root causes and implement corrective actions while maintaining accuracy across asset registers, maintenance systems and technical documentation. A clear and professional communicator, you collaborate effectively with engineering, maintenance and operational teams, while working under pressure and balancing competing priorities without compromising quality or compliance. You demonstrate a strong commitment to confidentiality, data protection and information governance, supported by strong IT capabilities, including experience with business systems, CMMS/EAMS, document management systems and Microsoft Office tools. You also bring accurate and consistent data entry skills, strong written communication, and a solid understanding of administrative processes such as document control, versioning and audit support, underpinned by a quality-focused mindset and a proactive approach to continuous improvement.

We’ve put together some criteria that we think is important for this role, but don’t worry if your experience and expertise isn’t an exact match. If you feel that you can add value to our role and to Edrington more broadly, we would welcome your application and be eager to learn more about you.
