Position Summary

An exciting opportunity has arisen for a Administrator to join the Macallan Cooperage.  This role is responsible for carrying out all cooperage operations administration for the Macallan Cooperage.  The position carries out a variety of administration tasks as required – some routine and others ad-hoc based-on business needs.  The role is key to ensure that good working relationships with internal and external customers are maintained and that operational teams are supported to deliver against the required business targets.

Job Description

Reporting to the Cooperage Manager, key tasks and responsibilities of these roles include:

  • Data Management of all cask receipts and dispatches and repairs
  • Promote a culture of continuous improvement and operational excellence
  • Production of Monthly KPI information
  • Utilise Mona and cask tracking systems for analysis and reporting
  • Collation of production figures (using spreadsheets) verifying information and making an amendments
  • Raise purchase orders for cooperage as required
  • Manage distribution and approval of invoices in SAP and VIM ensuring required timelines are met.
  • Ordering  materials  (PPE) from suppliers
  • Communication with suppliers regarding availability of orders
  • Support the management of training matrix and training records for the Macallan Cooperage
  • Responsible for submitting Concur expenses for members of the operations management team.
  • Generate weekly/monthly Q-Pulse reports for outstanding incidents and document control tasks.
  • Ownership of archiving process for Macallan cooperage documentation.
  • Supporting team leaders to ensure sufficient supplies are available for the Macallan cooperage team

Skills and Experience

To succeed in this role you will have strong administration and IT skills, specifically MS office packages i.e. Excel, as well as basic problem-solving skills and ability to adapt to changing circumstances.  You will have great organisational skills with experience of working to deadlines and strong communication skills across many stakeholders.  Ability to adopt new technologies, implement and use when required. Attention to detail – accurate record keeping and data entry and be self-motivated and demonstrate ownership over tasks. Cask tracking system knowledge would be desirable.
